Executive Assistant to the Principal

The Executive Assistant to the Principal at St Andrews Lutheran College is a pivotal role providing high-level administrative, secretarial, and strategic support to the Principal, Executive Team, and College Council. This position ensures the smooth operation of the Principal’s Office, manages key communications, coordinates major projects and events, and supports governance and compliance processes. The role also involves leadership within the administration team, fostering a culture of professionalism, collaboration, and service excellence. A strong alignment with the College’s Christian ethos and values is essential.

Key Functions, Accountabilities, Responsibilities and Deliverables:
Executive Assistance to the Principal
  • Manage the Principal’s calendar, appointments, and correspondence
  • Maintain filing systems and digital communication
  • Coordinate major projects and special initiatives
  • Liaise with internal and external stakeholders
  • Track project timelines and deliverables
  • Manage the Principal’s office resources and financial documentation
  • Facilitate effective information flow and task prioritisation
Administrative Support
  • Provide secretariat support to College Council and leadership teams
  • Prepare agendas, minutes, and action lists
  • Maintain the master College calendar
  • Coordinate travel, accommodation, and conference bookings
  • Maintain and communicate policy updates in collaboration with the Quality Assurance Officer
  • Maintain QCT Register and compile operational reports
Conference & Event Coordination
  • Organise staff retreats, mini-conferences, and College events
  • Coordinate catering and logistics for meetings and functions
  • Attend events and meetings as required (including outside normal hours)
Office Management & Leadership
  • Lead and support administrative staff through coaching and example
  • Develop and implement office procedures and compliance systems
  • Manage office budgets, supplies, and equipment
  • Chair administration meetings and ensure effective communication
  • Oversee document management and office maintenance
  • Promote a culture of collaboration, respect, and high performance
  • Identify and implement process improvements
